1. Scope

This Privacy Policy explains how Vision Make Studio ("VMS," "we," "us," or "our") collects, uses, stores, and shares information when you visit VisionMakeStudio.com, submit a Business Checkup or service request, become a client, use the VMS Client Portal, use VMS-hosted tools such as LinkHub or Smart QR, or otherwise communicate with us.

By using VMS services, you acknowledge the practices described in this policy.

2. Information we collect

Information you provide

• Business and contact information such as business name, contact name, email, phone number, website, address, industry, and service interests.
• Business Checkup, audit, project, scheduling, support, and service-request information.
• Content and files you provide for websites, LinkHub pages, QR destinations, marketing materials, audits, or other VMS work.
• Account and portal information associated with your VMS client record.
• Payment-related information processed by our payment provider. VMS does not need to store your full card number to process payments through Stripe.

Information collected automatically

• Basic device, browser, page, referral, and technical information.
• Operational records such as sign-in activity, service status, billing status, QR scans, LinkHub activity, notifications, and system events where those features are enabled.
• Cookies, local storage, or similar technologies used to keep the site and portal working, remember preferences, support security, and understand service usage.

3. How we use information

We use information to:

• Respond to inquiries and Business Checkup submissions.
• Create and manage client accounts, services, projects, audits, files, LinkHub pages, QR codes, billing, and support.
• Process payments and subscriptions and maintain accurate billing records.
• Send service, billing, security, scheduling, and account communications.
• Personalize, maintain, troubleshoot, secure, and improve VMS services.
• Prevent fraud, abuse, unauthorized access, and other harmful activity.
• Comply with legal obligations and enforce our agreements.

4. AI-assisted services

Some VMS workflows may use AI-assisted tools to help organize, summarize, draft, classify, or analyze business information. For example, AI may assist with a business audit, content draft, or internal recommendation. VMS keeps human review and control over client-facing work where appropriate.

We do not intentionally send passwords, full payment-card details, or other credentials to AI tools. Do not submit highly sensitive information that is unnecessary for the requested VMS service.

5. When we share information

We do not sell your personal information. We may share information with service providers that help us operate VMS, such as payment processing, hosting, database/storage, email delivery, analytics, security, automation, and AI-assisted service providers. These providers receive information only as reasonably necessary for their role.

We may also disclose information when required by law, to protect VMS or others, to investigate fraud or security concerns, or as part of a business reorganization or transfer subject to applicable law.

6. Payments and third-party platforms

Payments may be processed by Stripe or another disclosed payment provider. Their handling of payment information is governed by their own privacy terms. VMS services may also connect to or depend on third-party services chosen by you or required for the work, such as website hosts, domain registrars, Google business tools, social platforms, booking systems, or other vendors. Your use of those services is also subject to their terms and privacy policies.

7. Data retention

We keep information for as long as reasonably needed to provide services, maintain business and billing records, support reactivation or service history, resolve disputes, protect security, and meet legal obligations. Retention periods vary by record type. When information is no longer reasonably needed, we may delete, anonymize, or securely archive it.

8. Security

We use reasonable administrative and technical safeguards designed to protect VMS systems and client information, including access controls and private client storage where applicable. No internet service or storage system can be guaranteed completely secure, so we cannot promise absolute security.

You are responsible for protecting access to your email account and any third-party credentials you provide or authorize for VMS work.

9. Your choices and privacy requests

You may contact us to request access to, correction of, or deletion of personal information we hold about you, subject to legal, security, billing, and record-retention requirements. You may also ask questions about how your information is used.

Marketing communications, if used, will include a reasonable way to opt out. Transactional messages about your account, billing, security, or active services may still be sent when necessary.

10. Children

VMS business services are not directed to children under 18, and we do not knowingly seek personal information from children for the purpose of providing VMS business services.

11. Changes to this policy

We may update this Privacy Policy as VMS services, laws, or operating practices change. The updated date at the top of this page will show when revisions take effect. Material changes may also be communicated through the website, Client Portal, or email when appropriate.
